Access2Care Provider Portal: Booking, Trip Logs & Billing
DRT Pros Operations Library · Updated October 2026
Access2Care is the Medicaid transportation management platform used by brokers and health plans in several states. Providers accepted into an Access2Care network live inside its portal for booking, dispatch, delivery confirmation, and billing. Clean portal operation is what protects both payment and network standing.

Trip booking and scheduling
Trips appear in the provider scheduling board once the broker assigns them to your network. Dispatchers accept trips, match them to vehicles and drivers, and keep statuses current. Same-day and will-call trips move fast, so a portal left unchecked for even an hour costs both the trip and the scorecard.
- Accept or decline assignments promptly with a reason code, never by silence
- Assign by mobility requirement and vehicle availability before the first appointment window
- Update trip changes (time, pickup, destination) in the portal as soon as they arrive
Delivery confirmation
Billing depends on confirmed delivery. Completed trips need accurate pick-up and drop-off timestamps and the delivered member recorded in the portal. Missed trips require documentation of the attempt (no-show, unable-to-contact) to preserve a chance of payment for the window.
- Reconcile driver reports against portal status at end of each shift
- Never bulk-close trips without checking timestamps against the promise window
Billing in Access2Care
Providers generate billing from delivered trips, either through the portal billing module or export matched to authorization references. Claims fail most often when the billed trip does not match a confirmed delivery, or when mileage or ride type disagrees with what was authorized.
- Bill only trips with confirmed delivery status and matching authorization reference
- Review billing batches pre-submission for duplicates and missing trip IDs
- Track settlement reports and dispute short-payments within the allowed window
Running Access2Care with a remote dispatch team
DRT Pros operators work inside your Access2Care portal around the clock: booking trips, keeping dispatch boards current, confirming deliveries, and preparing clean billing batches. Fleets typically use us to cover nights, weekends, and overflow so their local office handles only exceptions.
- 24/7 portal presence so same-day trips are accepted before they auto-reassign
- Daily reconciliation logs shared with your office
- Broker scorecard focused: on-time, acceptance rate, and documentation quality
